1. Introduction & Contract Formation
1.1 These Terms & Conditions constitute the full agreement between you (“Client,” “Traveler”) and Lilac Roller Safaris (“Company,” “Operator”) with respect to all safari, tour, and related travel services booked through Roller Safaris.
1.2 A binding contract is formed only once (a) a booking is accepted in writing by the Company and (b) the Client has paid the required deposit in accordance with Section 4 below.
1.3 The Client’s acceptance of these Terms & Conditions is confirmed upon payment of any deposit or full payment.
2. Pricing & Payments
2.1 All published prices are indicative and based on costs prevailing at the time of publication. Prices may be revised at any time prior to booking confirmation.
2.2 Final prices will be confirmed in writing at the time of booking. Factors that may affect price include, but are not limited to:

Changes in exchange rates

Government duties, taxes, park fees, or levies

Fuel and airline fare fluctuations

Hotel or lodge tariff adjustments
2.3 Unless otherwise stated, prices are quoted in United States Dollars (USD), and bank charges or transfer fees are the responsibility of the Client.
2.4 A deposit of 50% in high season or 35% in low season is required to secure a booking. Full payment is due at least 30 days before departure. Bookings made within 45 days of departure require full payment immediately.
3. Inclusions & Exclusions
3.1 Inclusions:

Transport as per itinerary (e.g., 4×4 vehicles, coaches)

Park entrance fees, portage, hotel taxes and service charges
3.2 Exclusions:

International and domestic airfare not expressly listed

Visa fees, airport departure taxes, vaccinations

Beverages, laundry, telephone bills, personal expenses

Tips and gratifications unless specified as included

Optional activities not in the itinerary
3.3 Domestic flight baggage allowances and restrictions must be strictly observed; soft-sided luggage is recommended.
4. Cancellation & Refund Policy
4.1 All cancellation requests must be submitted in writing to the Company.
4.2 The following cancellation charges apply (exclusive of administrative fees):

4.3 All refunds will be subject to a non-refundable administrative fee to cover bank/processing charges.
4.4 In the unlikely event the Company cancels a tour (other than due to non-payment), Clients may elect for alternative arrangements at current rates or a full refund. No additional compensation will be payable.
5. Changes to Itineraries
5.1 Roller Safaris reserves the right to alter confirmed itineraries for operational, safety, or environmental reasons (e.g., weather, road conditions, lodge availability).
5.2 Where alternatives are possible, the Company will endeavour to offer comparable arrangements.
6. Documentation, Health & Safety
6.1 Clients are solely responsible for securing valid passports, visas, and required health certificates.
6.2 Health risks such as malaria and yellow fever are present in parts of East Africa; medical advice should be obtained prior to travel.
6.3 Proof of inoculations and personal medication documentation should be carried at all times.
6.4 Domestic activity participation (e.g., walking safaris, balloon rides) carries inherent risks; the Company cannot guarantee safety.
7. Travel Insurance
7.1 Comprehensive travel insurance, including cancellation, emergency medical evacuation, repatriation, accident, and loss of baggage coverage, is mandatory for all Clients.
7.2 Clients must provide proof of insurance upon request.
8. Liability & Risk
8.1 Roller Safaris acts as agent for third-party suppliers. The Company and its representatives are not liable for injury, loss, damage, or delay caused by suppliers beyond the Company’s control.
8.2 Liability for personal property, luggage, or valuables is excluded. Clients should secure their belongings at all times.
8.3 Guided safaris occur in remote and wild environments; Clients agree that risks (e.g., wildlife encounters, vehicle hazards, weather) are inherent to safari travel.
9. Complaints & Dispute Resolution
9.1 Any issues during a tour should be reported immediately to the on-tour manager or guide for prompt resolution.
9.2 If unresolved during travel, a written complaint must be submitted within 30 days of tour completion. The Company will respond formally within 30 days.
9.3 This Agreement is governed by the laws of the Republic of Kenya, and disputes shall be resolved in the competent courts of Kenya.
10. General Provisions
10.1 No variation of these Terms & Conditions shall be effective unless in writing and signed by an authorized Company representative.
10.2 The Company may subcontract services with qualified partners; all services remain subject to these Terms & Conditions.
10.3 Use of imagery or testimonials provided by Clients may be used for marketing, with prior consent.
By confirming a booking with Roller Safaris, the Client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
